Executive Assistant to President

Requirements:

  • Must have experience with construction and with Executive Assistant
  • Must have at least 3 years experience minimum in commercial construction as an assistant to an Executive/Owner.
  • Two to five years experience as a secretary for a General Contractor in commercial construction.
  • Excellent attendance; therefore dependability and reliability are mandatory.
  • Good communication skills and the ability to work well with superiors, clients, sub- contractors and fellow employees.
  • Excellent computer skills with proficiency in MS Excel, MS Word and Contact databases(Act)
  • Knowledge of construction procedures and terminology and how a construction business operates.
  • Must be a self-starter and motivated to learn new things.
  • Must have a pleasant voice with professional telephone skills.
  • Ability to handle stress and take constructive criticism in a positive manner. 
  • Good filing skills essential.
  • Ability to prioritize and work at a rapid pace.
  • Good organizational skills with special attention to timelines and details.
  • Ability to compose professional letters using proper grammar, spelling and punctuation.
  • Experience working with blueprints.
  • Modest, business casual attire.(no skimpy clothing) / Dress up when meeting with clients
  • Good Attitude, like people and enjoy the job (essential).
  • Must have own reliable transportation (run errands as necessary/attend meetings/job walks)
  • Good attitude and like helping others

Duties

  • Owners right hand
  • Check/receive owners e-mails 
  • Schedule owners meetings/calendar
  • Screen / make phone call / take messages
  • Preparing owner for any meetings, paperwork, etc.
  • Must be able to read the owners mind and predict what may be needed
  • Order lunch/meetings/owner/jobsites/etc.  
  • Answer phones (4 plus lines)
  • Keep vendor library updated and organized
  • Compose letters and documents as needed (proper spelling and grammar)
  • Assist in the bid process (must be familiar with blueprints, and the bidding process)
  • Copy and mail blueprints (prepare and deliver to Fed-Ex) 
  • Create spreadsheets and track documents (must be an expert on spreadsheets)
  • Track all jobs and bids (paper and computer, very organized is essential)
  • Follow up on all bids and jobs
  • Collect and track all Subcontractor proposals
  • Heavy record keeping, database maintenance, spreadsheet work and follow-up (expert level)
  • Heavy filing (attention to detail essential)
  • Responsible for organization of file cabinets, supply rooms and blueprints
  • Miscellaneous general office duties
  • Track and create tool inventory
